Welcome to this brief guide on uploading receipts to QuickBooks online Via a Desktop.

Keeping on top of receipts is a tedious task that all business face, however with a few tips and shortcuts the whole process can be made much more efficient.

The fastest and most efficient method to manage your business’s receipts is to upload them QuickBooks online via a desktop.

We recommend downloading all your receipts and invoices first and then dragging them all in to Quickbooks at once. 

A top tip is to ensure that your downloads are set to “Save to downloads” on your desktop by default to avoid hunting for them again. 

A pro tip would be to pin a link to your downloads to your windows/apple taskbar for immediate access from anywhere. 

Here’s our step by step guide:

  1. ensure you have a list of receipts that you require
  2. If you have an excel list of the required receipts, its best to sort it alphabetically so you can download all receipts from one supplier at a time rather that hopping between mulitpls
  3. Download the required receipt, a top tip is save the receipt with the supplier name and rough amount so you can easily identtify them, such as SX 28, for screwfix £28.99
  4. If you want to ensure you don’t miss any you can add a checkbox to the excel sheet and mark the receipt as downloaded
  5. Once you have all the required receipts downloaded
  6. Login to QuickBooks online via a desktop
  7. Snap your downloads folder to one monitor or left side of the screen if using a single monitor
  8. Snap QuickBooks to the right monitor or right side
  9. Select all the receipts from your downloads, and simply drag and drop into Quickbooks.

That is the most efficient method to manage your business’s receipts.

You can ofcourse use the mobile app method, although its often slower especially if you have online accounts with suppliers. 

The mobile app method is best for on the go receipts such as fuel stations.
